Operations & Project Coordinator

Overview

Midnight Mansion is crafting the next generation of immersive entertainment, combining interactive art, narrative gameplay, and tech-forward environments to bring unforgettable experiences to life. We’re looking for a thoughtful, action-oriented teammate to help manage the people, projects, and processes that bring these experiences into being.

The Role

This is an in-person role that blends project management, production coordination, and operational support. You’ll work closely with company leadership and department heads to oversee client projects. Responsibilities will include:

Coordinate timelines, deadlines, and deliverables across multiple projects
Help translate creative visions into action plans with tasks and milestones
Facilitate sprint planning, check-ins, and retrospectives when appropriate
Assist with recruiting, onboarding, and general hiring coordination
Help resolve team blockers and support cross-functional communication
Foster a culture of follow-through and accountability (with kindness!)
Document decisions, task assignments, and meeting outcomes
Track progress across design, fabrication, software, and install
Flag misalignments early and help course-correct before they snowball

Who We’re Looking For

You are organized, empathetic, and able to adapt to a fast-moving, creative environment
You are confident giving directions and following up, doing so with warmth and respect
You’re not afraid of ambiguity, bringing structure where needed but aren’t overly rigid
You are excited by the intersection of technology, story, and experience
You are curious and resourceful, always asking “What’s the next right step?”
You understand the basic needs and workflows of software, electronics, fabrication, and installation, even if you aren’t carrying out that work yourself

Qualifications

Must Haves

Ability to work onsite in Needham, Massachusetts
Strong communication skills (both written and verbal)
2+ yrs in project coordination, technical production, or similar role
Familiarity with managing or coordinating interdisciplinary teams
Passion for immersive or location-based entertainment
Applicants must be currently authorized to work in the United States on a full-time basis; we are unable to sponsor applicants for work visas at this time

Nice to Haves

Exposure to interactive technologies like Arduino, Raspberry Pi, lighting/audio systems, or show control
Experience in themed entertainment, museum installation, live events, or similar creative industries
Comfort with Google Drive, Jira, and/or other project management tools
Hands-on experience in any technical/creative field (e.g., prototyping, CAD, scripting, wiring, etc.)
You enjoy contributing to creative processes. While your primary role is coordination, you're not afraid to offer ideas and creativity from the team.

Compensation & Benefits

$65,000 - $85,000 a year commensurate with experience
